Request and Task

A Request represents a buyer-initiated intent to purchase a product or service. Each request follows a predefined workflow that reflects the organization’s internal approval process.

Requests can be created in multiple contexts:

  • From the Request list page, where users can start a new request using the Create New Request action available in the page toolbar

  • During the offer acceptance process on an offer detail page, where users can choose to initiate a request workflow before accepting the offer

When creating a request, users first select the appropriate workflow based on business needs, then complete the request form defined by that workflow.

Buyer Service allows users to:

  • Create purchase requests by selecting a workflow and submitting the required request information
  • View all requests they have initiated or are involved in
  • Track the status and progress of each request throughout its lifecycle

Request Detail

Requests can be initiated for both public offers and private offers, allowing organizations to apply the same approval process regardless of offer type.

When creating a request, users first select the appropriate workflow based on business needs, then complete the request form defined by that workflow.

Task

A Task represents an actionable approval step within a request workflow. Tasks are generated based on the selected workflow and assigned to relevant participants, such as approvers or reviewers.

Participants can access tasks from the Task list and review detailed task information in the task detail view.

Within the Details section of the task detail page, approvers can review the information requiring approval and perform actions such as approve or decline, according to their role in the workflow.

Buyer Service allows task participants to:

  • Review request and task-related information relevant to their approval step
  • Take required actions within the approval process
  • Track task activity and collaboration history

Tasks ensure that procurement decisions follow defined approval rules and that each step is clearly documented.

Relationship between requests, tasks, and offers

Requests and tasks operate before an offer is available and support internal approval processes:

  • A request initiates the procurement workflow
  • Tasks represent approval steps within that workflow
  • Once a request is approved and a vendor sends an offer, the buyer can proceed with offer acceptance and subsequent contract and billing management

This structure allows organizations to separate internal approval from vendor engagement while maintaining a continuous procurement flow.
